Off White Houses

Privacy policy

This translation is provided for information. The Polish version of this policy is the binding one.

This document explains what personal data we collect on offwhitedomki.com, why we do it and what rights you have.

1. Data controller

The controller of your personal data is the owner of the Off White Domki resort, ul. Perłowa 12, 76-150 Darłówko, Poland.

For any matter concerning personal data, write to offwhitedomki@gmail.com or call +48 519 038 033.

2. Contact form, e-mail and phone

When you contact us through the form, by e-mail or by phone, we process the data you give us: your full name, e-mail address, phone number (if you provide it) and the content of your message.

We do this to answer your question and, if it concerns a booking, to prepare an offer for your stay. The legal basis is our legitimate interest in handling correspondence (Article 6(1)(f) GDPR) and taking steps at your request before entering into a contract (Article 6(1)(b) GDPR).

A message sent through the form goes straight to our e-mail inbox and is not stored in the website database. We keep correspondence for as long as it takes to handle the matter, and no longer than 12 months after the last message, unless a booking was made.

3. Booking a stay

Online bookings are handled by the external booking system Hotres.pl, whose form opens on our website. In it you provide the data needed for a booking: your full name, e-mail address, phone number, dates of stay and number of guests and, if you want an invoice, your invoice details.

We process this data to conclude and perform the contract for your stay (Article 6(1)(b) GDPR), to meet tax and accounting obligations (Article 6(1)(c) GDPR) and, where necessary, to pursue or defend claims (Article 6(1)(f) GDPR).

We keep booking data for the duration of the stay and the limitation period for claims, and accounting documents for 5 years from the end of the year in which the tax obligation arose.

4. Who we share data with

We share data only with providers whose services we use to run the website and handle bookings:

  • the provider of the Hotres.pl booking system,
  • the website hosting provider (Hostinger),
  • the e-mail provider (Google — Gmail inbox),
  • the payment operator chosen during booking.

Some of these providers may process data outside the European Economic Area; in that case they apply the safeguards required by the GDPR, in particular standard contractual clauses. We do not sell data or share it for marketing purposes.

5. Cookies and similar technologies

The website stores in your browser only the decision you made in the “Your privacy” window. This is necessary so that we do not ask you again on every visit.

We do not currently use analytics or advertising tools. If we enable Google Analytics statistics in the future, we will do so only with your consent given in the “Your privacy” window, and IP addresses will be anonymised.

Content embedded from external services may store its own cookies and receive your IP address:

  • the Hotres.pl booking form — once it is opened,
  • the Google map on the “Contact” page.

You can manage cookies in your browser settings, including deleting or blocking them.

6. Technical data

The server that runs the website automatically records in its logs the IP address, the date and time of the visit, the address of the page opened and information about the browser. This serves the security and proper operation of the website (Article 6(1)(f) GDPR). To limit spam, the contact form remembers an encrypted hash of the IP address for about one minute.

7. Your rights

You have the right to access your data and receive a copy of it, to have it corrected or erased, to restrict its processing, to data portability and to object to processing based on our legitimate interest. Where processing is based on consent, you may withdraw it at any time; this does not affect the lawfulness of earlier processing.

To exercise these rights, write to offwhitedomki@gmail.com. You may also lodge a complaint with the President of the Personal Data Protection Office (Prezes Urzędu Ochrony Danych Osobowych, ul. Stawki 2, 00-193 Warsaw, Poland).

8. Do you have to provide data

Providing data is voluntary, but without it we cannot answer your message or accept a booking. We do not make automated decisions about you and we do not carry out profiling.

9. Changes to this policy

We update the policy when the way the website works or the law changes. The current version is always available on this page. Version dated 6 October 2026.
